There’s this unspoken expectation in the events world that a planner who’s visibly in motion – buzzing from room to room, fielding last-minute changes, orchestrating from the sidelines – is a planner who’s doing their job well. And you are. But there’s a version of your job that looks a little different, that isn’t so hard on you: a program that’s set up to run itself.
When everything is dialed in before doors open, when your production partner knows the program cold, when the cues are locked and the team is briefed; you get to do something radical. You get to be present!

5 Ways to Actually Enjoy Event Day
Do a real pre-production walk-through (not just a venue tour).
Walk the event in your mind from start to finish. Where does the first guest arrive? What do they see? When does the energy shift? When you trace the experience before it happens, you catch the gaps while you still have time to fill them. Bring whoever needs to be in that conversation, whether that’s your venue contact, your production team, anyone whose world intersects with yours.
Talk through every “what if” and think about the answers.
The anxiety on event day almost always comes from unresolved questions. What if the speaker runs long? What if the caterer is late? What if the mic cuts out? Write them all down and make a decision for each one. You don’t need a perfect answer, you just need an answer, made in advance when you can think clearly and plan possible solutions. Day-of decisions are harder and costlier.
Bring your vendors in from the start
Share the run-of-show. Share the vibe. Tell them what your stakeholders care about most. Let them in on your vision. When they know the how and why behind the event, they can better support you.
Let your partners work together
You cannot be the solver of every problem and also be present for your stakeholders. By bringing in the right people and allowing them to support you, they’ll also be able to support each other. Give yourself permission to not know everything the moment it happens. It’s not letting go – this is still your baby. It’s just delegating. To a team that knows what matters to you, knows your show, and knows what a win looks like.
Schedule one moment in the event just for you.
This sounds small, but it works. Before the event, identify one moment you want to actually experience; the first look at a dressed room, the opening remarks, the toast, even just your fresh cup of coffee at the beginning of event day. Put it in the run-of-show in your head. Protect it. Those moments are why we all do what we do.
Give Yourself Permission to Enjoy What You Built
We know how much you put into these events… and the fact that you care so much is one of your greatest strengths. But you still get to care for yourself. You can care deeply about an event and still catch a conversation, still eat dinner before it gets cold, still be present in the room rather than watching over it.
Your guests feel you when you’re present. Your stakeholders feel it too. There’s something unmistakable about a planner who moves through their event with confidence instead of anxiety. It signals that everything is okay, because it is.
A lot of that confidence comes from the work done in the weeks before. And some of it comes from having the right people around you, the right vendors and partners who take their piece seriously so you don’t have to carry all of it.
You Deserve to Be a Guest At Your Own Event
